Executive Administrative Assistant

We are looking for an Executive Administrative Assistant to provide support to senior leadership and assist in keeping the office operating properly. In this role, you will be required to provide administrative and clerical services, greet office visitors, collect, organize, and retrieve information and documents, run various errands, and arrange meetings & travel. This is a new role. The responsibilities will be split between supporting the CEO with administrative matters relating to his personal holding company and supporting the Company’s senior leadership with administrative duties. Additionally, assistance with administrative tasks within the finance function will be expected (i.e., support with accounts payable, expense reporting, etc.)

To be successful, you should be committed to facilitating smooth, efficient office operations by planning carefully, anticipating needs, and providing responsive, reliable assistance. You should be adaptable, proactive, supportive, and detail oriented.

  • Expected hours of work: This is a full-time position. Generally, work is performed Monday through Friday, though holidays and weekends may be required

Core Responsibilities

  • Supporting company leadership by assisting with administrative tasks
  • Arrange meetings
  • Arrange business meals for onsite and offsite meetings
  • Arrange executive travel, hotel and dining arrangements as needed
  • Greeting office visitors and directing them to the appropriate parties
  • Assist in the proper execution of company events
  • Monitor office supply levels; reorder when appropriate
  • Produce professional-quality reports and presentations
  • Handling basic office tasks, such as filing, delivering mail, answering emails and phone calls, and data entry
  • Scanning and filing of incoming invoices to assist in the accounts payable function
  • Various miscellaneous errands related to the Company and CEO’s personal projects(i.e., banking, DMV, etc.)

  • Professional appearance, courteous manner, and clear, friendly phone voice
  • Proactive, organized approach to multitasking
  • Exceptional verbal and written communication skills
  • Data entry skills along with a knack for numbers
  • Proficiency with MS Office
  • Basic experiences with spreadsheets
  • Knowledge of basic accounting/book keeping and Quickbooks a plus
  • High degree of accuracy and attention to detail
  • Mindful of handling sensitive and confidential information
  • Valid driver’s license
